Instructions for Authors

Presentation Guidelines

Here, you can find some useful information to give the presentation at IEEE SmartGridComm 2014.
  1. Each technical session room will be equipped with a digital projector and a Windows laptop with PowerPoint (Office 2013) and Acrobat Reader. Presentations should be uploaded to the laptop before the beginning of the technical session. All presenters are encouraged to use the laptop provided by the organization. No adapters for your laptop will be provided. Please ensure you have MULTIPLE BACKUP COPIES of your presentation (e.g. on a USB stick and in DropBox, Google drive etc.).
  2. Each presentation is allocated 20 minutes. You should spend about 17 minutes for presentation of the problem, the background, the innovative approach, the new results and the comparative evaluation. An additional 2 minutes should be available for discussion with the attendees
  3. Sign the register to show that you presented your paper.
  4. The presenter should prepare a reasonable number of illustrations so as not to exceed the 17 minute time. Typically, one illustration is presented in one to two minutes. Additional illustrations could be prepared to support possible answers to attendees' questions if needed.
  5. Your presentation should be clearly structured. Begin with a title page. The index of the presentation should outline the presentation. The basic problem should be clearly stated, as well as the application area. Background and previous work should be summarised to provide a perspective for the results presented in the paper. The innovative aspects of your approach should be clearly stated. The application of the approach to the problem should be clearly described, by pointing out the main features and characteristics, the problems and the solutions. The results should be clearly outlined and evaluated. Appropriate comparison with previous results should be presented. Conclusions should summarize the work performed and point out the main innovation and results. Future work and developments could also be sketched.

No Show Policy

To be published in the IEEE SmartGridComm 2014 Conference Proceedings and to be eligible for publication in IEEE Xplore®, an author of an accepted paper is required to register for the conference at the full or limited (member or non-member) rate and the paper must be presented by an author of that paper at the conference unless the TPC Chair grants permission for a substitute presenter arranged in advance of the event and who is qualified both to present and answer questions. For authors with multiple accepted papers, one full registration is valid for up to 3 papers.  Accepted and presented papers will be published in the IEEE SmartGridComm 2014 Conference Proceedings and submitted to IEEE Xplore® as well as other Abstracting and Indexing (A&I) databases.

Final Manuscript Upload

To upload the final manuscript (in EDAS) please complete the following steps by August 4, 2014:

  1. Revise your paper taking into account the review comments. Use the IEEE paper templates and prepare a PDF file according to the guidelines provided in the Manuscript Format Section (see here).
  2. Generate an IEEE Xplore compliant PDF paper by using PDF eXpress (link to PDF eXpress). The conference ID is: 33520X. The PDF eXpress service will be enabled from July 12, 2014 and it emails the converted PDF that is compatible to IEEE Xplore. To login to PDF eXpress, follow the instructions:
    • New users: Click on "New Users - Click here", enter 33520X for conference ID, the email address, a password, and continue to enter information as prompted. An online confirmation will be displayed and an email confirmation will be sent verifying your account setup.
    • Previous users: As for new users, but the password should be the same that was used for previous conferences. Verify that the contact information is valid. 
  3. Register to the conference by August 4. Conference registration is required to upload the final manuscript. See the Registration page (link here) for information about registration.
  4. After registration, you will receive, via email, a paper upload code that will be used to upload your final manuscript in EDAS. According to the ComSoc policy, full registration is required to upload final manuscripts and each full registration can cover up to 3 papers. 
  5. Log into EDAS and go to your accepted paper where you should see an upload icon beside "Final manuscript". Click on the upload button. On the next screen, follow the link "IEEE Copyright Submission" to complete the IEEE online copyright transfer form. Do NOT try to upload a scanned copyright transfer form. At the end of the IEEE online copyright process you will be returned to the EDAS paper upload page. Enter the paper upload code and check the boxes confirming that the author(s) and abstract match the registered paper. Upload your IEEE Xplore compatible PDF file.   6. You may revise your submission by uploading replacement files until the upload deadline on August 4. 
PLEASE NOTE: The author list of an accepted paper can NOT be changed in the final manuscript.

Manuscript Format

All papers must be written in English with a maximum paper length of six (6) printed pages (10-point font) including figures, in two-column format. One extra page, for a total amount of seven (7) printed pages, is allowed with extra fees. Please note that you may not reduce the length of paper submitted for review after it is accepted.

The template format requires:

  • Authors' affiliation centered under authors' name and title, not in a footnote
  • No authors bios, no pictures, no page numbers
  • No index terms nor keywords
  • In LaTex, the use of the \documentclass[conference]{IEEEtran} command
  • Submitted PDF must include fonts and they should be compliant at least with PDF 1.4 (Acrobat 5)
  • The paper margins must be as those reported in the following table

The final paper must be uploaded through EDAS having completed all steps described above, in the Final Manuscript Upload section. Your submitted PDF file and the information in EDAS about your paper must match: the author(s) must be listed in the same order and the title must match; there may be only minor wording differences in the abstract. Papers where the PDF and EDAS information do not match will be withdrawn by the Technical Program Chair or Track Co-Chairs.

IEEE Policy

Papers are reviewed on the basis that they do not contain plagiarized material and have not been submitted to any other conference at the same time (double submission). These matters are taken very seriously and the IEEE Communication Society will take action against any author who engages in any practice. Follow these links to learn more:
